PA to the Vice Principal (Enfield) £20,182 to £22,060 plus £1,701 LW.

Our client, a Further Education College specialising in land-based training, is looking to recruit a
PA to the Vice Principal.

Description of duties

Reporting to the PA to the Chief Executive, main duties and responsibilities:

• Coordinating and maintaining papers, files and records of all curriculum and management meetings and events organised and attended by the Vice Principal.
• Undertaking and prioritising word and data processing as requested by the Vice Principal, ensuring that confidentiality is maintained at all times.
• Providing an administrative service for the College’s Academic Board, Quality Meeting and Governing Body Curriculum and Quality Committee, to include taking minutes, preparation of agendas, and collation of background reports.
• Liaison with Governors, funding and awarding bodies, outside organisations/agencies, academic and administrative staff and Student Registry as required.
• Responding to telephone enquiries and taking messages on behalf of the Vice Principal.
• Managing the Vice Principal’s diary to include making appointments and arranging meetings.
• Ensuring that work generated by the Vice Principal to include photocopying, filing and distribution of information/post/documents to other members of staff is processed. Opening the post of the Vice Principal and processing post as appropriate.
• Assisting the PA to the Chief Executive with projects involving the Chief Executive and Vice Principal as required and, in the absence of the PA to the Chief Executive, assisting with the provision of cover where possible.
• Keeping records, collating and providing information as required for reports to include annual leave for staff line managed by the Vice Principal, budgets, and statistics associated with the academic delivery of the college including funding returns.
• Ensuring that staff are informed of meetings they are required to attend and the dates.
Ensuring that papers/files, accommodation, resources and refreshments are available for relevant meetings.
• Leading on administrative arrangements for College monitoring and assessment including, Ofsted and QAA review, Training Quality Standard accreditation, Matrix and Investors in People recognition.
• Contributing to arrangement of College functions as requested to include the annual Awards Ceremony at the Enfield centre and other centres in liaison with other appropriate members of staff. • Supporting administration of Learner Satisfaction Surveys and Staff Satisfaction surveys in liaison with QDP Data Services.

Experience/special knowledge/job requirements

Successful candidates will need the following qualifications, experience and personal skills:

• Experience of working in an administrative environment
• Substantial experience of using Microsoft suite of software. (Word, Excel, PowerPoint and Access.)
• Successful experience of taking minutes
• NVQ 2 or equivalent in Business Administration
• Good level of general education to level 3
• Good administrative and organisational skills
• Good level of computer literacy
• Outstanding organisational skills & ability to work to deadlines

It is desirable for candidates to possess:

• Experience of working in an educational environment
• Successful experience of project administration
• NVQ 3 equivalent in Business Administration
